Self-hosting email: let's be honest about the difficulty

Most VPS-mail pages sell you a dream. We prefer the truth: running a mail server is technically easy, but getting your mail delivered is a profession. Gmail, Outlook and Yahoo aggressively filter anything coming from datacenter IPs, and a single configuration mistake lands you in spam for months. If you just want professional addresses, a hosted service costs less in time than in money.

That said, self-hosting has real merit: total privacy, unlimited addresses and aliases, no storage cap, and complete control of the chain. And infrastructure-wise, we provide the two prerequisites that make up 80% of success: a dedicated IP with verified reputation and the ability to configure reverse DNS (PTR) directly from the panel.

The three pillars of deliverability

1. SPF: a TXT record listing IPs allowed to send for your domain (v=spf1 mx -all). 2. DKIM: a cryptographic signature on every message, public key published in DNS. 3. DMARC: the policy telling receivers what to do with failing mail (p=quarantine then p=reject after a few weeks of observation).

Add PTR pointing to your hostname and a hostname resolving back to the IP (FCrDNS), and you have the foundation. Test with mail-tester.com: aim for 10/10 before sending anything important.

The stack: Mailcow rather than hand-rolled Postfix

Assembling Postfix + Dovecot + Rspamd by hand builds character but takes a weekend. Mailcow (dockerized) bundles it all with a clean admin interface:

Mailcow requires 6 GB of RAM minimum (Rspamd and ClamAV are hungry): the Titan with its 16 GB is the right entry point. An Apex works if you disable ClamAV antivirus — not recommended.

IP warm-up: 4 to 6 weeks

Even perfectly configured, a new mail server must warm up its reputation: start with a few dozen emails a day to recipients who reply, ramp up progressively. Register with Google Postmaster Tools and Microsoft's SNDS to monitor your reputation. One mass send too early and you start over for two months.

Backups and monitoring

Your mail lives in Maildirs: daily rsync to a second volume plus our automatic snapshots. Watch the Postfix queues (mailq): a growing queue is the first sign a receiver is blocking you.
